Minutes from GPHA Annual Meeting held October 5, 2019 @ the Diary Barn Commons Area.

2018 Annual/Quarterly Meeting (8 September 18)

 

 

Location: Optimist Park Meeting Room 1 & 2

Scheduled Date/Time: September 8, 2018 @ 9:30 A.M.

Start/End Time: 9:43 - 10:30 A.M.

Agenda / Minutes

Meeting called to order by Rachel McDaniel, President, at 9:43 A.M.

Introduction of current GPHA Board Members to those attending (21 attendees)

 President - Rachel McDaniel  

    - Explained job duties/responsibilities of GPHA President

    - One Role is to hold Quarterly and Annual Meetings with all welcome and times posted on GPHA Website

    - Noted that two current Board Members would roll off in October - Rachel and Joe

    - Nominations are being accepted for President and Secretary and would be presented at the October meeting

    - Nominations are for Board Members only. The Board would determine who would fill the President and Secretary roles.

    - Another year of winning the Huntsville City Beautification Award (congratulations to both David Johnson and Jim Hayes)       

    - Crepe Myrtles will be trimmed/pruned in February. City will perform this activity for no charge.

    - Landscaper Josh Kuckols doing a fantastic job. Owners are encouraged to let him know their appreciation.

Secretary - Joe Queen

    - Meeting Minutes must be recorded and signed by President and Secretary to provide proof of Homeowners Association (HOA).  This is a tax requirement, if dues are collected from Homeowners.

Landscaping Coordinator - David Johnson

    - Main role is to address landscaping issues with Josh and manage tree and sprinkler issues

    - Please notify David, if you see a water leak. Several homeowners have heard water running from the storm gutter systems. David to investigate situation.  

    - City has agreed to pick up trees when they are dead. TBD who will cut them down when dead. HOA members Jim Hayes and several volunteers cut down the dead trees in the first two entrance medians. City should do this.

     - Sprinkler systems will be affected when removing median trees. Cost to repair will be ours. This may take a couple of years.

    - Falling branches are one of the biggest concerns with dog walkers and drivers

    - Dead trees in yards also need to be addressed

Treasurer - Rob Archer

  - Main responsibility is to collect dues, maintain financial spreadsheet and write checks

  - Projects for 2018 to be under budget, as of this date

  - All dues are current from Homeowners

  - CD moved to Money Market Account to allow for more flexibility and higher interest

Hospitality Coordinator - Shelli Kirby

    - Responsibility is to welcome new owners with a gift card, plan Block Party and help President with Quarterly Meetings

    - Also looking into coordinating ‘food for times of need’ (i.e. Death, Hospital, etc.).  This activity is TBD.

    - Shelli noted vehicles need to slow down coming into and leaving the neighborhood - speed limit is 25 MPH

Website Management - Inge Mitchell

    - Responsibility for taking care of the GPHA website and posting neighborhood news/events

    - Post meeting notices, minutes to the meetings and other Board activities

    - Posted on website an excellent history of the Chapman area that should be viewed

Introduction of the new neighbors:

Ziggy Burgos and Amy Boller

Lee and Werdena Smith

September starts the Financial Audit of HOA. Submit HOA nominations for Board.

October nominations for Board members will be reviewed and voted on at meeting.

Joe motioned to adjourn, Rachel seconded.

  • Audit is up to date

3.      Joe Queen (Treasurer) – John covered Joe’s notes

  • ALL dues are paid
  • In the black with due increase

4.      Jim Hayes (Groundskeeper)

  • Pavilion proposal
  • Insurance for pavilion
  • Historic site at pavilion
  • Make line item to donate to pavilion in due request statement
  • Sidewalk shortcut from Chuck’s house to Dairy Lane needs attention
  • MOTION FOR PAVILION: YES 13 residents / NO 2 residents
  • Moving forward to investigate insurance and historical site

5.      Flo Staggs (Greeter/Event Coordinator) absent but covered by John

  • Options for holiday gathering

I’m writing to put in a request to add in our community bulletin the onset of army worms discovered in my yard. I encourage folks to check their yards and treat ASAP, if needed.
