PRESIDENT

  • Computer Skills Needed
  • Maintain public relations (internal/external)
  • Address neighborhood complaints
  • Schedule Board Meetings & generate Quarterly/Annual Meeting Agendas NOTE: Regular Board Meeting frequency determined by the Board Members
  • Call Board Members before meetings to ensure quorum (three Board Members)
  • Open/conduct Quarterly Meetings/Annual Meetings following prepared Agenda NOTE: Annual Meeting to be held at option of the Board in September or October with 10 day notice prior to date of meeting
  • NOTE: The Board shall prepare/approve an estimated annual budget for each fiscal year & provide copies to each Lot Owner no later than 30 days prior to the beginning of the calendar year (currently the Associations's fiscal year). Also, 60 days after end of fiscal year, a statement for the year end shall be furnished to each Lot Owner.

TREASURER

  • Computer Skills Needed
  • Maintain monthly financial records
  • Pay invoices including public liability, fire and extended coverage insurance
  • Ensure all checks are co-signed (designate three Board Members authorized to sign checks, with two signatures required on each check)
  • Collect annual neighborhood dues
  • File taxes before deadline  (April 15th)
  • Arrange/perform yearly audit of finances (10/31 thru 11/1) before November 30

SECRETARY

  • Computer Skills Needed
  • Record all meeting minutes
  • Send out Newsletters
    NOTE:  Winter Newsletter to include dues notice, financial audit results, yearly budget, hardcopy homeowner's list for neighbors with no email address. Fall Newsletter to include Annual Picnic/Meeting details, year in review, board vacancies, Board Member information, topics of discussion for Annual Meeting
  • Conduct neighborhood Board Member elections in October
    NOTE:  Elections held whenever a Board Member's term expires.  Early vacancy by a Board Member can be determined by majority vote of remaining Board Members, with individual holding office equal to the unexpired term of Member succeeded.
  • Maintain all GPHA Records for three years
  • Update Board Member Roles spreadsheet

GROUNDSKEEPER

  • Competitively solicit landscaping services when required
  • Ensure landscaping services are under a formal yearly contract with contract outlining services to be provided
  • Ensure landscaping company's invoice notes when & what service was performed
  • Monitor/maintain sprinkler system - address leaks/damaged sprinklerheads/abnormal watering cycles
  • Arrange shrub/tree trimming,  pinestraw placement, planting of flowers
  • Open & winterize sprinkler system

GREETER &
EVENT COORDINATOR

  • Update Homeowners List
  • Organize Annual Picnic
  • Arrange cleanup activities prior to Annual Picnic/Meeting
  • Welcome new residents with gift basket or gift card
  • Provide new residents a copy of the GPHA Covenants/By Laws (hardcopy and/or provide GPHA website link)
  • Solicit new resident's contact information - name/phone number/email address
  • Organize any other GPHA activities

WEB MASTER / SOCIAL MEDIA MANAGER

  • This position is a non-voting role associated with Gladstone Place neighborhood
  • Attendence at board meetings are welcome but not required
  • Proficient computer skills and ability to navigate the Internet and email
  • Responsible for creating, managing, and publishing content on behalf of the HOA Board
  • Manage social platforms for the neighborhood; including but not limited to the website and Facebook page (coming soon!)
  • Ability to grasp concept of "Website Builder" on One.com; no coding skills necessary
  • Capable of creating a business page (not a personal page) on Facebook; keep account private for residents only
  • Relay information to the neighborhood in an efficient and timely manner on Facebook
